Assurance of Privacy:
All of our staff members are held up to the highest confidentiality (HIPPA) standards. Your medical information will remain completely confidential unless we receive a signed written release from you. Information cannot be shared with your spouse or family members unless specific authorization is obtained to do so.

Telephone Messages:
Our telephone lines are open throughout the day. A triage nurse is available between 8 a.m. and 3 p.m. to answer your urgent medical questions. Calls will be triaged and answered in order of medical importance.  All calls will be appropriately addressed within 24 hours.  When leaving a message, please indicate if our office can leave a message with your medical information.  For your privacy, if you have not indicated verbally or in writing, our office will not leave a message with medical information at your contact number.
Non-urgent messages or test results that require a physician or midwife to call you back are typically returned by that practitioner after patient care hours completed. They too are answered according to medical priority.  Please see our schedule on the “Appointments” page for the days that your practioner is in the office.
IF AT ANY TIME YOU FEEL THAT YOUR QUESTION MAY BE A MEDICAL EMERGENCY, CALL 911 OR GO DIRECTLY TO THE NEAREST EMERGENCY ROOM. PLEASE DO NOT CALL THE OFFICE OR LEAVE A MESSAGE EITHER ON VOICE MAIL OR E-MAIL!
After hours, phones are answered by our answering service. The physician or midwife on call will be paged when appropriate. Please limit your after-hours calls to medically urgent calls only. 
If you are expecting a return call from our office and you have call blocking on your telephone, please UNBLOCK your phone. Our office staff and providers cannot call back to blocked lines.

Prescription Refills:
Prescription refills will be processed for Established Patients ONLY who have been seen within the past 12 months. Your provider will review your chart and the refill will be called in or faxed to your pharmacy within 24 hours of receipt on the next business day.
If your doctor or midwife feels that an office visit is necessary before a refill can be given, you will be notified by phone.
One additional month of refill birth control pills can be called in for established patients. This will allow you time to schedule your annual visit.
Please be aware of the status of your prescription supply.  Our office will have your refill request processed within 48 hours of notification.

Test Results:
According to the preferences you indicate on your HIPPA forms, you will be notified in writing OR by telephone message of normal test results. Laboratory or radiology results may take up to one week to be received by us. Pap smear results can take as many as 10-14 days to reach our office. If you are anxious to receive your results you may call the triage nurse to check on the status of those results. Please be sure to leave all of the pertinent information on the voice mail including date and location on your lab draw so as to expedite your results. You will receive a phone call by the appropriate doctor or midwife for any abnormal test results.
Occasionally, you will be asked to return to the office to discuss test results, as phone consultation may not be appropriate. This may be true for normal as well as abnormal test results.

Office Financial Policy:
Full payment is expected at the time that services are rendered. A variety of payment options are available for your convenience including cash, check, or Visa. A $25 service charge will be applied for checks that are returned for insufficient funds.
For those patients who carry insurance in which the physicians participate as preferred providers, the insurance will be billed for covered services. The patient will be held responsible for their rightful portion of their bills including co-payments, coinsurance, and deductible costs. Those patients will also be held responsible for services that are not covered by their insurance.

Billing:
West Suburban Women's Health provides in-house billing services with Certified Coding Assistants. Our billing and coding experts are able to expedite your claims electronically in plans that offer that advantage. They also remain available to you directly for pre-certification services and clarification of explanation of benefits once a claim has been made. Their close proximity to the physicians helps you to maximize your benefits.  If you have a question regarding your bill, please contact the billing department directly at 630-654-xxxx.  Please have your account information available at the time of your call as well as any additional statements from your insurance company.
